Introduction
Colby is committed to protecting your privacy by detailing exactly what we collect, how we use your data, and your rights. Our commitment is rooted in transparency and responsible data handling for all users.
We collect only the minimum required data to provide AI-powered Salesforce assistance. This includes Salesforce page context, limited user interaction details, and anonymized session information. Sensitive data like Salesforce credentials or personal identity information is never collected.
Your data is used solely to process your commands, provide real-time context, and improve AI accuracy. We guarantee that no long-term storage, data selling, or sharing with unauthorized parties occurs.
Data Collection & Use
Colby collects details strictly necessary for Salesforce operations: current page URL, certain record IDs, visible field values (on interaction), user-entered commands, click actions, preferences, and anonymized session info. This enables a personalized AI-powered experience.
We use this information to process your queries, maintain session context, execute actions per your requests, and enhance AI accuracy. No personal data beyond what’s needed for these functions is ever collected.
What We Don’t Collect
Colby does not access or store Salesforce login credentials, personal information not required for Salesforce operations, extensive browsing activity, nor any non-Salesforce domain data. We do not read or store data from other browser tabs or unrelated extensions.
All data handling is compliant with Chrome Web Store User Data Policy. Our use of Google and Chrome APIs meets Limited Use requirements, and we only process data for stated features and functionalities.
Data Security & Storage
Session IDs and preferences are stored locally and cleared automatically after 24 hours or when the extension is closed. No Salesforce data is permanently stored, and your interactions are kept session-isolated to prevent cross-user data access.
Colby processes commands on secure Google Cloud Platform servers. All data is encrypted using TLS 1.3 during transit, with session data auto-deleted after 1 hour of inactivity. Session isolation ensures the highest user privacy.
Command histories are deleted immediately after processing. There is no long-term retention of user data or Salesforce information. Data retention periods are designed to serve only essential, short-lived operations.
Data Accuracy & Liability
Colby is provided "as is" without warranties. While we strive for accuracy, we cannot guarantee the correctness of AI interpretations, data modifications, or bulk operations. You are responsible for reviewing all proposed changes, maintaining backups, and verifying operations before execution.
We are not liable for data loss from confirmed operations, incorrect modifications you approve, or any indirect damages. Colby operates through Salesforce's APIs and is subject to their limitations. Data recovery must be performed through Salesforce's native tools.
You agree to indemnify and hold harmless Colby, its developers, and affiliates from any claims or damages arising from your use of the extension, data modifications you authorize, or violations of your organization's policies. Always preview changes and follow your organization's data governance practices.
Third-Party Services & Data Sharing
Colby only works with reputable third-party services: Google Vertex AI (for language processing) and Tavily API (for web research features when you explicitly request them). These services adhere to their strict privacy standards and never use data for training without consent.
We never share your data with advertising, marketing platforms, or unauthorized parties. Data is only shared: for required processing with Google Vertex AI, if required by law, or with your explicit consent.
Your Rights & Choices
You have the right to request details about your data, disable Colby at any time, and delete stored session data via browser preferences. You may opt-out of features you don’t want, such as web research.
Colby complies with the GDPR and CCPA where applicable. Our data practices always follow the principle of data minimization and respect for user choice.
Policy Updates & Contact
We may update our Privacy Policy to reflect new practices or legal standards. Major changes will be communicated within the extension.
